LYTE Community Outreach Coordinator
 
 
 
KEY RESPONSIBILITIES Create and distribute letter instructions/templates to 30 to 45 students via text. Organize and maintain student folders on Google Drive for efficient tracking. Communicate with students throughout the letter-writing process, sending reminders and providing support. Follow up with students who miss deadlines through persistent outreach, including calls, texts, and parent/advocate contact. The challenges of despondent students or timely responses must be addressed in a timely manner guaranteeing delivery. If students fail or refuse to deliver letters, replacement students must be assigned and sponsors informed in a professional manner. Replacing students requires the intern to work with the development team and student advocates to assure a smooth transition is established. The feelings and potential concerns of the sponsors during any change must be paramount. Edit student letters for grammar, spelling, and content appropriateness. Provide feedback and request revisions for letters needing corrections, allowing up to three days for resubmission. Newsletter: Organize and host monthly meetings with all LYTE staff to plan what will be included in the upcoming month's newsletter. Pictures and reporting in special events must be planned ahead of time. Collect written content from LYTE staff, including sections from the middle school, high school, college access, and college/career services teams by the 20th of each month. Send reminders to LYTE staff to submit their newsletter sections before the 20th of each month. A draft newsletter should be assembled and presented for review by the 25th of each month. Coordinate the “Student SpotLYTE” feature, collecting a written portion and photo from the highlighted student. Ensure the newsletter is reviewed, finalized, and sent to approximately 4,000 contacts by the last day of each month.

Member Duties : SPONSORSHIP PROGRAM OVERVIEW LYTE’s Sponsorship Program connects large donors with LYTE students in a more meaningful way. Sponsors commit to a $2,500 annual donation, which covers a year of LYTE programming for one student. Sponsors are paired with a LYTE Scholar and receive 4-5 personal letters yearly, where students share updates on school, extracurriculars, and their LYTE journey, highlighting the program’s impact on their lives. The Community Outreach Coordinator will not be involved with the solicitation or processing of new donations. NEWSLETTER OVERVIEW LYTE distributes a monthly email newsletter before the end of each month to approximately 4,000 recipients, including parents, volunteers, and community members. The newsletter provides updates on LYTE students’ activities and highlights notable events from the past month, keeping stakeholders informed and engaged with our mission.
