A Safe Haven Foundation, Operations Project Coordinator

The VISTA will work closely with the Operations Manager and the rest of the Operations team to research and develop new operational projects both within the department and across the organization. The VISTA will help create Standard Operating Procedures (SOPs) to ensure that information and policies are consistent across the entire organization. Once new SOPs are established, the VISTA will work to create trainings for staff on the new operational projects and procedures. This VISTA role will be a leadership position that will require significant attention to detail, exceptional organizational capacity, and an above-and-beyond work ethic. These activities will ensure that ASHF programs are operating as efficiently as possible, by reducing staff hours spent on administrative redundancies and improving management flow. ···· The VISTA will serve as part of an intra-agency team studying and refining A Safe Haven Foundation’s model. The project is intended to identify and systematize best practices and update agency policies and procedures to reflect the most recent evidence-based recommendations for substance use social service care provision. This will allow ASHF to effectively scale its services and better serve homeless individuals in Chicago — particularly those at high-risk for opioid addiction — ultimately helping them transition out of poverty by creating greater access to treatment and other services.

Member Duties : Identify potential standard operating procedure systems and taxonomies and present the options to the Operations Manager. — Collaborate with the Operations Manager to update standard operating procedures for ASHF's operations utilizing the chosen SOP system. — Create binders and upload .pdf copies of SOPs for each program to the relevant information storage systems. — Establish schedule and step-by-step process for SOP maintenance and annual review. — Review current Operations processes (including transportation, front desk/security, inventory) and make recommendations on how to increase efficiency. — Design trainings and educational material for staff regarding new operational processes.
